Planning guide for exhibitors
HavExpo is fast approaching. With several hundred exhibitors and a wide range of players from fisheries, aquaculture, the supply industry, research and management, the competition for attention will be fierce. Good planning is therefore essential to get the most out of your participation in the fair.
Here is a practical overview of what you should do – and what you should start doing now.
Order stand equipment in time
The deadline for ordering equipment for the stand is April 1. The Bergen Expo online store is open, and here you will find everything from furniture, carpets and lighting to screens and technical equipment.
Experience has shown that it is wise to plan early. If you order before the deadline, you have a larger selection and better control over the details. Check out important information here.
Why participate?
It might be a good idea to ask yourself this simple question before you attend. Set a strategy and some goals for what you want to achieve at HavExpo. What is most important to you at HavExpo? Is it new customers or the chance to meet existing partners? Are you launching products or services? Or do you generally want better visibility in the market?
A clear goal makes it easier to plan staffing, messaging and activities at the stand.

Create a stop effect
Everyone is competing for the same visitors. That's why your stand needs to have a clear message and an expression that reflects who you are. Think about what people want to understand about your business in a few seconds? And how do you create a natural arena for conversation at your stand?
Colors, branding, and material choices should be in line with the business's identity. A consistent look gives a more professional impression.
Register everyone who will be working at the stand
All employees must register in advance. QR codes will be sent to each email address, and these will be used at check-in to print out exhibitor cards. The exhibitor card is valid both during the exhibition days and in connection with rigging and dismantling. Make sure this is in place well in advance, so that you avoid unnecessary waiting upon arrival.
Invite guests
Each exhibitor can invite up to 50 guests for free. This is an important part of the value of participation. Here you can imagine important customers, potential partners and other relevant contacts in your network. Remember that guests must also register in advance to receive a QR code and access card.
Book accommodation
There are many hotels to choose from both in Bergen city center and around the airport. Make your choice as early as possible – both for your own employees and any guests.

Stand staffing and follow-up
A good stand is more than equipment and design. It is the people who create the value. Here you have all the prerequisites for success, but the key lies in the preparations. Just as important as the preparations is what happens afterwards. Fast and personal follow-up of contacts after the fair can be crucial for the actual effect of participation.

With only months left until the fair opens, a lot is in place, and interest is high. For those of you who are exhibitors, it is now about making good use of your time.
Book by the deadlines. Register employees. Invite guests. Secure accommodation. And last but not least: plan how you will use the HavExpo meeting space to strengthen your position in the industry.
